Privacy policy

This policy explains what personal data Spark Coaching with Val (“I”, “me”) collects through sparkcoachingwithval.com, why, and what rights you have. I'm a small coaching business based in Denmark and the data controller for the information described below.

What I collect

• Newsletter sign-ups: your first name (optional) and email address, plus the date and the form you signed up through. I only add you after you confirm by clicking the link in a confirmation email (double opt-in).
• Programme applications: what you share in the application form (name, email, what you're building, your experience and goals).
• Coaching: notes and materials from our sessions, and messages in Slack or WhatsApp. Calls take place on Zoom and may be recorded and transcribed with Fathom, so I can focus on the conversation instead of taking notes; I'll always tell you before a call is recorded. Group call recordings are shared only with your cohort.
• Event registrations: when you register for an event through Luma, your name, email, ticket details and any answers you give in the registration form. Luma processes ticket payments.
• Bookings: when you schedule a call through Calendly, your name, email and anything you add to the booking form.
• Purchases: when you buy a digital product, the checkout provider processes your name, email, billing country and payment details. I receive your name, email and what you bought, never your full card details.
• Emails you send me: whatever you choose to share.
• Statistics (only with your consent): Google Analytics collects information about how you use the site, such as pages visited, device type, approximate location and how you arrived. It uses cookies and only runs if you accept statistics.

Cookies and similar technologies

This website doesn't use advertising or tracking cookies. It stores one small item in your browser to remember your cookie choice. Everything else is optional and only loads if you agree:

• Statistics: Google Analytics cookies that help me understand which pages are useful.
• Embedded content: the Calendly booking calendar, the Luma events calendar and any video or podcast players. These providers may set their own cookies once loaded.

Fonts and videos on this site are hosted on the same server as the website, so loading a page doesn't send your data to Google or other third parties. You can change your choice at any time: open cookie settings.

Why I process your data, and the legal basis

• To send the newsletter you asked for (consent, which you can withdraw at any time).
• To arrange calls and deliver coaching or products you've requested (to take steps before or perform a contract).
• To keep accounting records of purchases (legal obligation under Danish bookkeeping law).
• To keep the website secure and working (legitimate interest).

Who else processes your data

I use a small number of trusted providers, each under a data processing agreement:

• MailerLite (newsletter, EU-based)
• Calendly (call bookings)
• Luma (event registration and ticket payments)
• Tally (programme application form)
• Stripe (programme and digital product payments)
• Zoom (video calls)
• Fathom (call recording, transcripts and notes)
• Slack, WhatsApp and Notion (delivering coaching and programme materials)
• Netlify (website hosting)
• Google Analytics (visitor statistics, only with consent; Google may process data in the US under the EU-US Data Privacy Framework)

Where a provider transfers data outside the EU/EEA, this happens under the EU Standard Contractual Clauses or the EU-US Data Privacy Framework.

How long I keep it

Call recordings and transcripts are kept for as long as you have access to the programme materials, and you can ask me to delete them at any time. Newsletter data is kept until you unsubscribe (every email has a one-click unsubscribe link). Client and purchase records are kept for as long as needed to provide the service and for 5 years after the end of the financial year, as required by Danish bookkeeping law. Enquiries that don't lead to working together are deleted within 12 months.

Your rights

Under GDPR you can ask to access, correct, delete or export your data, and you can object to or restrict certain processing. Email hello@sparkcoachingwithval.com and I'll reply within 30 days. You can also complain to the Danish Data Protection Agency, Datatilsynet (opens in a new tab).

Changes to this policy

I may update this policy from time to time. The date at the top shows when it was last changed.
